    Energetyczny Projekt

Installation quotes at the table with the client

Energetyczny Projekt quotes and installs energy systems for homes. We designed and built a web app: a quote calculator for sales reps and a dashboard in which the homeowner follows their construction project.

    Challenge

A quote for a heat pump or solar panels depends on dozens of parameters and subsidies. The sales rep needs it right away, during the meeting.

Energetyczny Projekt needed a tool in which an employee prepares a detailed quote in real time, with the client and even without internet access, while the whole company quotes by the same rules and cost data.

We designed the app from two sides. The sales rep guides the client step by step: from home details, through choosing the technology, to a PDF offer sent by email. The homeowner gets their own dashboard with a construction log, decisions to approve, payments and documents.

From meeting to a finished offer

The whole quoting process fits into one flow that the sales rep goes through together with the client.

    1. 01

      Client and home details

Contact details, floor area, energy demand, electricity price and subsidy level.

    2. 02

      Choosing the technology

Heat pumps, solar panels, boilers, insulation, windows, heat recovery ventilation and more: several products in one calculation.

    3. 03

      Subsidies and financing

The calculator works out subsidies, thermal modernization tax relief, the client’s own contribution and installment financing options.

    4. 04

      Offer and contract

The offer and contract as PDFs to download and email to the client, with earlier quotes kept in an archive.

    Sales rep dashboard

The sales rep’s tool: client calculations, product selection, a subsidy summary and a financing plan, all based on the company’s actual cost data.

    01

    New client

A quote starts with the client. Besides contact details, the sales rep enters the floor area, energy demand, electricity price and the level of the Clean Air (Czyste Powietrze) subsidy, thermal modernization tax relief and white certificate discount. Another person and several calculations can be added to one client.

    02

    Choosing the technology

The sales rep adds products to the calculation from sixteen categories, from heat pumps and solar panels to windows and air conditioning. For a heat pump, they choose a specific set, and the app shows its parameters and energy use. Each product also comes with materials for the client: installation diagrams and videos.

    03

    Summary and financing

The summary brings together all products in the calculation: available and used subsidy, the value of the upgrade and the final price after subsidies and tax relief. The financing module lays out the payment process step by step: the deposit, subsidy installments and two ways to cover the client’s own contribution, in cash or in installments. From here, the sales rep downloads the offer and the contract.

    04

    House construction calculator

A separate calculator guides the quote for an entire house: design data, scope of the offer, architecture, windows and doors, and analysis. Floor, ceiling and roof areas add up automatically, and the sales rep picks finishing work from ready-made options.

    Client dashboard

The homeowner sees construction progress, decisions to make and payment status without calling the office.

    01

    Decisions

When the contractor reports additional or replacement work, the homeowner gets a decision with a description, cost and deadline. They approve or reject it with one click, and the list shows the status of all previous decisions with related documents to download.

    02

    Payments

The payment status shows the amount due, invoice number and due date. Below, the construction is split into stages, each showing basic, additional and replacement work with the amount, status and an invoice to download. At the end, there is a list of invoices and payments.

    03

    Documents and schedule

In documents, the homeowner has a project summary with house visualizations, plus contracts, annexes and reports to download. The schedule compares the forecast and contractual completion dates, explains every date change and highlights important dates.

    04

    Construction log

Each log entry is a short description of the work, photos from the site and attachments, signed by the lead engineer. New entries, decisions and payments also appear in the notifications on the home screen.

    Construction on your phone

The client dashboard also works on mobile: the same information, arranged in cards.

    Scope of work

    1. UX/UI

Concept and visual design of the quote calculator for sales reps and the client dashboard for desktop and mobile.

    2. Development

A web app in Laravel, Vue.js and GraphQL: a calculator that also works offline, PDF offers sent by email and SSO integration with an LMS.

    3. Launch

Testing, setting up the production environment and a structure ready for automations in Zapier and Make.
